A few notes on the sections that carry the most weight:

Line items. Group by phase or trade, and never bury labor inside a materials line. The moment a client can’t see what labor costs, every conversation about the total becomes a negotiation about your rate.

Client and job site. Keep both addresses. They’re frequently different, and the job site address is the one that matters for permits and liens.

Scope of work. A short narrative before the numbers. This is the single most dispute-prone section in the document.

Exclusions. Everything you’re not doing. It’s the cheapest protection in the entire estimate — being specific here costs you nothing and settles arguments before they start.

The three formulas your template needs

This is what separates a form from a tool.

1. Markup vs margin

The most expensive confusion in the trades:

Markup % = Profit ÷ Cost × 100
Margin % = Profit ÷ Price × 100

Cost of $10,000 plus a 25% markup gives a price of $12,500. Your margin is $2,500 ÷ $12,500 = 20%. A 25% markup is a 20% margin. They are never the same number, and reading one as the other quietly drains a few points off every job.

To convert: Markup % = Margin ÷ (1 − Margin)

2. Overhead recovery

This is the one that sinks otherwise well-run companies.

Overhead Rate = Overhead ÷ Direct Costs
Required Gross Margin = Overhead Rate + Target Net Profit
Markup % = Required Gross Margin ÷ (1 − Required Gross Margin)

Say your overhead is $20,000 against $100,000 of direct costs — a 20% overhead rate — and you want 10% net profit. Required gross margin is 30%. So your markup is 0.30 ÷ 0.70 = 43%.

Not 30%. If you marked up 30% thinking it covered 20% overhead plus 10% profit, you’d land at roughly break-even and never quite understand why a busy year produced no money. Full breakdown in markup vs margin.

3. Labor burden

The wage is not the cost. On top of base pay:

  • FICA employer share: 7.65% — 6.2% Social Security plus 1.45% Medicare. Social Security stops at the annual wage base; Medicare doesn’t.
  • FUTA and SUTA: state-dependent, commonly 2–6%.
  • Workers’ comp: varies enormously by trade — often 5–15% of payroll in the building trades, with electrical toward the lower end and roofing and structural work substantially higher.
  • Plus any benefits, PTO, training, and vehicle costs you carry.

Burden commonly lands somewhere between 30% and 60% over base wage, but that range is a starting point, not a benchmark — workers’ comp rates alone differ by trade and state enough to move it several points. Pull your own numbers. The formula is what matters:

Loaded hourly cost = Base wage × (1 + burden rate)

A $28/hour carpenter at a 38% burden costs you $38.64/hour before a dollar of overhead or profit. Estimate at $28 and you’ve lost the job before you started.

Sanity-check your rates against real data

Useful when you’re setting or reviewing rates. These are BLS Occupational Employment and Wage Statistics figures, reference period May 2025 — the official national numbers, not blog estimates:

Two cautions. These mix annual means with a median hourly, so don’t line them up as if they’re the same statistic. And national means hide enormous regional spread — a metro rate can run well above these figures. Use them as a floor check, not a rate card.

On the materials side, the number that matters right now: construction materials PPI rose 9.0% from June 2025 to June 2026, with 6.1% of that in the first half of 2026 alone. Any template with unit prices hardcoded from last year is already wrong.

Excel, PDF, or an app

There’s no reliable survey data on what contractors actually use, so treat any ”% of contractors use spreadsheets” claim you see as invented. The honest trade-offs:

Spreadsheets (Excel, Google Sheets) do the math for you and hold your formulas — which is exactly why they’re the right home for the calculations above. The weakness is version control and delivery: no e-signature, no tracking, and a very real risk of sending a client the file with your cost columns still in it.

Word or PDF gives you presentation control and a document that looks finished. But every total is typed by hand, which means every total is a chance to be wrong.

Estimating apps carry line-item libraries, e-signature, and tracking, and they don’t lose the formulas when someone edits a cell. The cost is a subscription and some lock-in.

A reasonable setup for a small shop: keep pricing math in a spreadsheet, deliver as PDF, and move to an app when re-keying the same line items starts eating real hours. We compared options in best estimating apps for contractors in 2026.

Numbering and versions

No standard exists here, but a system that works:

  • Sequential with a year prefix: 2026-0142. Sortable, and tells you volume at a glance.
  • Revision suffix: 2026-0142-R2. The superseded versions stay traceable, which matters when a client references “the estimate you sent me” and means the first one.
  • Carry the number to the invoice. Reconciling estimate to invoice is trivial when they share an identifier and painful when they don’t.

What makes an estimate convert

Worth being straight with you: there is no credible study on this. Every “estimates with photos convert 34% more” statistic circulating in this niche traces back to vendor marketing with no methodology attached. Ignore all of it, including the very confident-sounding ones.

What is documented:

Speed matters. The best-sourced research on lead response — a study of 15,000+ leads across three years — found the odds of qualifying a lead were 21 times greater when contacted within 5 minutes versus 30 minutes. That data is B2B web leads from the 2000s, not home services, so don’t oversell it. But the direction is real and the mechanism is obvious: the client is talking to other contractors.

Clarity reduces disputes. Construction attorneys consistently identify vague scope language as the root cause of scope creep and payment fights. A precise estimate isn’t just more persuasive — it’s the document you’ll be glad to have if things go wrong.

The rest is reasoning, not data: itemization builds trust because it shows your thinking, and a client who understands where the money goes argues less about the total.

What should a contractor estimate template include?

Header with business details and license number, estimate number and expiration date, client and job site addresses, scope of work, itemized line items with quantities and unit prices, cost categories, allowances, exclusions, totals with overhead and profit, payment terms, timeline, terms and conditions, and signature lines for both parties.

How do I calculate markup for a contractor estimate?

Markup % = Profit ÷ Cost × 100. To cover overhead and hit a profit target, first find your overhead rate (overhead ÷ direct costs), add your target net profit to get required gross margin, then convert: Markup % = Required Gross Margin ÷ (1 − Required Gross Margin). A 20% overhead plus 10% profit target requires a 43% markup, not 30%.

What is labor burden and how do I calculate it?

Labor burden is everything you pay on top of base wages: FICA at 7.65%, state and federal unemployment (commonly 2–6%), workers’ compensation (often 5–15% of payroll in the building trades, higher for roofing), plus benefits and vehicle costs. Should I use Excel or an app for contractor estimates?

Spreadsheets are best for holding pricing formulas and doing math reliably, but they lack e-signature, tracking, and version control — and it’s easy to accidentally send a client your cost columns. How should I number my estimates?

Use a year-prefixed sequential format like 2026-0142, add a revision suffix such as -R1 or -R2 when you resend a changed version, and carry the same number through to the invoice so estimate and invoice reconcile cleanly.

Is a free estimate template good enough?

For structure, yes — the layout of an estimate isn’t proprietary. What free templates don’t give you is the pricing logic: your overhead rate, your loaded labor cost, and current material prices. With construction materials up 9% year over year, a template with stale unit prices baked in is worse than no template.
